AISB-796 Project Coordinator

Your responsibilities

You will support the Project Manager (PM) with administrative and operational project activities:

Resource management:

  • Enter and maintain resource plans in ServiceNow
  • Review and approve timecards on behalf of the Project Manager
  • Monitor resource utilization and rebalance plans when necessary
  • Replan resources as directed by the Project Manager

Project planning:

  • Create and maintain the Work Breakdown Structure (WBS) in ServiceNow
  • Maintain task status (progress, completion)
  • Monitor project schedule
  • Replan the schedule as instructed by the Project Manager

Risk management:

  • Maintain the risk log in ServiceNow
  • Review and update risk status
  • Monitor mitigation actions and follow up accordingly

Project reporting:

  • Collect inputs and prepare project status reports
  • Support the preparation of project exception reports
  • Contribute to external project reporting

Data quality:

  • Monitor PM data quality indicators
  • Implement or recommend improvement actions

Procurement support:

  • Enter Purchase Requests (PR) for goods and services

Project documentation:

  • Prepare and review project documents using standard templates
  • Record Minutes of Meetings (MoM)

Other:

  • Perform any additional tasks delegated by the Project Manager

Profile requirements

Essential:

  • Higher vocational training in a relevant field with at least 3 years of experience
    or secondary education with at least 5 years of relevant experience
  • Experience in administrative and coordination roles within project management
  • Experience with project management tools, preferably ServiceNow
  • Security clearance required: NATO Secret

Desirable:

  • Project Management certification (PRINCE2, PMP, or equivalent)
  • Strong experience may compensate for the lack of formal certification
